Description

The fleet administration officer maintains reliable records for vehicles, costs, usage and related documentation. The role supports fleet availability by coordinating renewals, inspections, maintenance schedules and administrative follow-up while helping the team understand vehicle utilisation and asset costs. This position is part of fleet administration and vehicle asset control and contributes to reliable, professional day-to-day delivery. The successful candidate will follow established procedures, maintain accurate information and work collaboratively with colleagues to achieve agreed standards.

Key Responsibilities

The main responsibilities include the following:

  • Maintain vehicle files, registration and insurance documents, service records, renewals and inspection dates.
  • Coordinate maintenance appointments, repairs, vehicle handovers and follow-up with drivers or service providers.
  • Track vehicle usage, mileage, fuel or related costs and update fleet reports accurately.
  • Support asset records, including vehicle value, depreciation information and changes in fleet status.
  • Respond to internal requests and flag overdue documents, repeated defects or unusual expenses.

A practical understanding of the function, sound prioritisation and timely escalation will help protect quality, safety, cost and customer commitments.

Requirements and Qualifications

  • A college diploma or equivalent administrative qualification is relevant.
  • Around three years of fleet-administration experience is a useful benchmark.
  • A valid driving licence and basic English communication are required in the published role details.
  • Candidates should be comfortable with spreadsheets, document control and routine coordination.

Candidates should show relevant experience, learn local procedures quickly and meet any required statutory or professional standards.

Skills and Competencies

The work depends on accuracy, organisation, analytical thinking and calm communication with drivers, suppliers and internal users. Consistent follow-up is important because missed renewals or maintenance actions can affect compliance and fleet availability.
