The HR Assistant plays a pivotal role in supporting recruitment and onboarding activities while ensuring adherence to established HR procedures. A key focus of this role involves managing physical employee records with precision and care, contributing to audit preparedness and compliance standards.

📝 Key Responsibilities

1. Recruitment Support
  • Coordinate interview logistics, prepare necessary materials, and manage related documentation.
  • Follow up with shortlisted candidates within one business day to confirm interview schedules and joining details.
2. Onboarding Facilitation
  • Assist with offer letter issuance, ATA creation, and Visa processing for new hires.
  • Provide onboarding support for teams across Sharaf Electronics and Sharaf DG to ensure a seamless experience.
3. Document Management & Coordination
  • Copy and compile essential documents from new joiners (e.g., passports, certificates) within 1 working day.
  • Submit documentation to Payroll, Medical, and Insurance departments on time.
4. Compliance & Auditing
  • Execute HR operations within stipulated timeframes and quality standards.
  • Contribute to monthly audits led by the HR Manager to uphold compliance levels.
5. Physical File Maintenance – Critical Duty
  • Manage complete and accurate hardcopy employee files in line with HR policies.
  • Create physical files for all new employees within 2 working days of joining.
  • Monitor file movement using a secure tracking system to avoid misplacement.
  • Ensure files remain audit-ready with all necessary documents properly organized.

🎓 Requirements

Qualifications & Experience
  • Bachelor's degree in Human Resources, Business Administration, or related field
  • 1–2 years of experience in HR operations or recruitment/onboarding support
  • Experience in document control or employee file management is an advantage
