Description

The Dispatcher supports the daily coordination of a time-sensitive logistics operation. The role connects drivers, internal departments, airline partners, subcontractors and vendors to keep shipments moving accurately and on schedule. The post covers both import and export activity and includes monitoring bookings, movements and special handling instructions. The dispatcher is also a key contact for drivers and helps maintain reliable proof-of-collection and proof-of-delivery information.

Key Responsibilities

  • Prepare export shipping instructions, labels and driver documentation, and check that shipment paperwork follows company and airline standards.
  • Oversee daily import deliveries and coordinate domestic bookings, airline bookings and other transport arrangements when required.
  • Schedule drivers and organise daily routes according to shipment priorities, collection requirements and delivery commitments.
  • Scan and account for freight, check physical shipment counts against system records, and maintain accurate daily dispatch information.
  • Track and trace shipments, monitor collection and delivery status, and follow up on delays, discrepancies or missing information.
  • Coordinate with other departments, vendors and subcontractors, help resolve operational problems, and provide dispatch cover when needed.
  • Assist with facility oversight, keep operating areas orderly, and work with management to ensure company vehicles are serviced and safe to use.

Requirements and Qualifications

  • At least two years of experience in the life-sciences or clinical-trial industry.
  • Experience with import and export processes and an understanding of fleet operations.
  • Knowledge of time- and temperature-sensitive requirements relevant to clinical-trial shipments.
  • Completion of Year 12 education. The role also requires practical familiarity with the service area identified in the vacancy and the ability to work in a fast-paced operation.

Skills and Competencies

Strong time management, multitasking, problem-solving and communication skills are important. The successful candidate should be comfortable coordinating several movements at once, maintaining accurate records, responding quickly to operational exceptions and dealing professionally with colleagues and external partners.
