Job Title: Executive Assistant – COO Office Division: Operations ( Tech Ops, SCM , Biotech Production& Engineering) Country: UNITED ARAB EMIRATES Work Location: UAE (RAK head office) Job Type: Technical Operation – Executive Assistant – COO Office Employment Type: Full Time Employment (Un-limited Contract) Job Description: Purpose: The Executive Assistant will provide executive-level support to the Chief Operating Officer (COO). The primary responsibilities of this role are to maintain the COO’s schedule, coordinate with internal and external stakeholders, provide logistical and travel support. Serves as the core support for COO to manage various Operation related projects and responsible to create and publish dashboard a) Overall health & progress of the said project b) Status of milestones & deliverables c) Financial information about the budget, forecast, actuals etc Key responsibilities & Accountability: Main Responsibilities  Track COO’s tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments  Organize internal and external meeting for COO, including logistical and substantive preparation  Maintain an accurate and detailed calendar for COO, manage and log incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, manage all travel scheduling and arrangements  Track and reconcile monthly milestone trackers from various functions & submit reports to COO for review  Ensure consistent and efficient interaction with both departmental & cross functional colleagues in the organization; demonstrate poise and tact under pressure and handle matters with sound judgement and confidentiality  Conduct preliminary research on a variety of topics; draft materials on special projects, assemble data for presentation & final reporting  Prepare correspondence and communications Office Administration  Ensure tidiness of the COO office and that all meeting equipment is functioning properly in the meeting room  Coordinate office purchases & maintain assets through administration of the equipment sign-out form Core Competency  In terms of competency you are highly result oriented with strong sense of accountability & ownership.  Must be able to manage tasks and priorities and easily adapt to changing situations.  Outstanding interpersonal skills for better working with others; ability to work with high profile individuals externally, as well as collaborate internally Ability to work in a fast-paced and sometime unpredictable environment; works well under pressure and tight deadlines  Detail oriented, having positive & tenacious attitude, organized with proven ability to successfully multi-task  Strong verbal and written English communication skills , fluency in other languages (Arabic) is highly preferred  Ability to maintain confidentiality and discretion at all times  Proficiency in Microsoft Office having strong organizational skills and the ability to multitask .  Action oriented and results focused with a problem-solving attitude  Demonstrated ability in working independently and as part of a team  Must be able to work in a cross-functional environment interacting with variety of stakeholders  You must be a self-starter, solution focused, hardworking nature, having self-confidence, and positive attitude. Qualifications: – Education 4 years Bachelor degree in a related field – Experience: Minimum 4-5 years of professional work experience , out of which at least 2+ years of experience in providing high-level administrative support to executives. – Training: Key Competencies: High proficiency in MS Office (MS Projects, PowerPoint, Word, XLs)) is mandatory fitment criteria  Must be strongly conversant with Project Management concept and its various tools  Experience with domestic and international business travel arrangements, coordinating meetings and tracking credit card and other expenses Technical Competencies:
