Role and Responsibilities
The Executive Assistant should be experienced in handling a wide range of administrative and executive support related tasks and should be able to work independently. You must be well organized, flexible and be able to interact with Senior Management and senior customer contacts. You should support the MD’s direct reports and perform a variety of tasks related to employees and other record-keeping within the department. You will often handle highly confidential and privileged information, including sensitive, strategic, and organizational issues, which requires the individual to maintain a high level of professionalism, integrity and confidentiality.
Duties and Responsibilities

Ensure that all weekly, bi-weekly and monthly reports are in place to deliver to CAE Executive Team. Ensure that all MD’s direct reports are continuously aware of the deadlines for their presentation updates/numbers and keep following up to ensure these are sent on time.

Monitor and keep MD updated on VIP customers who are visiting or attending the training courses at ECFT. Coordinate with CS / AE Manager on Key Customer agenda and greet/accommodate their needs during their visit at ECFT. Plan and coordinate Operational and Board meetings.

Provide the CAE Executive Assistants globally with administrative support to ensure the smooth organizational and logistic arrangements locally. Accommodate ECFT and CAE Executive Teams travel arrangements, meeting requests, venue booking and arrange the Employee Exchange meetings for the CAE Global Executives.

Responsible for MD’s file management. Assist with recordkeeping and information management systems and manage data entry where required. Order office supplies and support purchasing for the MD and direct reports. Gather and manage information for training related matters including copying, binding and mailing. Provide assistance with corporate events expense report entry, follow up on payables and receivables related to these events.

Support and manage the Internal and External Events for customers, CAE visitors and staff. Provide Support in organizing the Airshows and other Aviation Exhibitions/ Conferences where CAE & ECFT participates.

Provide the MD as needed with administrative support with an accompanying expectation of immediate delivery as well as taking pressure off the MD to ensure the smooth operation of the organization. Work on projects as directed by the MD and operational requirements to meet required objectives.
