Senior Executive Assistant – SkyPower Global Group (Dubai Office Position)

SkyPower Global, one of the world’s largest solar development companies is currently seeking to augment its team with a UAE based Senior Administration Assistant.

We seek an amazing detailed Senior Executive Assistant to assist our dynamic team in the UAE as we focus on continued growth within the solar energy industry. 

On occasion, there is a need to work additional hours on evenings and weekends. You must stay five steps ahead of the team tracking all administrative details and clearing the path ahead. Your role ensures that the team can continue to make the highest-level contribution required for the success of the company. 

While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the teams needs and the needs of the company. The most important responsibility of the Senior Administrative Assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the company. 

The team expects you to anticipate challenges and needs and be capable of proactively addressing them, allowing the leadership to focus on the company’s growth strategy at a pivotal moment for the renewable energy in the wake of climate change.

In this role, you will serve as a point of contact in the UAE for internal and external constituencies on administrative matters relating to the leadership team.

In this role, you will also be required to perform and/or exhibit:

• Proactively engage with leadership in planning and organizing events and activities and keeping the executive team informed as needed

• Extensive calendar management over a variety of time zones

• Multi-tasking and prioritization skills along with the ability to handle multiple demands

• Track daily expenses and monthly reports

• Must also be able to track communication (and be very responsive) across multiple channels without losing any details

• You have strong multi-tasking and organizational abilities allowing you to manage many projects at once.

• Can communicate across various cross functional departments and teams with excellent relationship skills – this role requires interfacing with executives and artists on a regular basis

• High-level of professionalism, discretion, and confidentiality

• Quality Communication: must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. You must also be able to track communication (and be very responsive) across multiple channels without losing any details.

• High Level of Discretion: You will regularly work with confidential information, discretion and sensitivity is a must.

• Team Player: You will need to be able to collaborate and communicate well with these team members, maintaining a can-do spirit

• Excellent time management and ability to problem solve

• Self-starter with exceptional follow-up skills

• Participate in operational meetings, maximizing across the organization to keep pulse, transfer knowledge and connect dots across functions.

• Project management as assigned, including due date tracking and coordination of deliverables with key stake holders

• Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Team, including those of a sensitive or confidential nature

• Works closely and effectively with the Team and well informed of upcoming commitments, deadlines, and responsibilities, with consistent following up 

• Serve as a “barometer,” having a keen sense of the issues at hand and have an accurate pulse of the environment to be able to brief the Team throughout the workday or as needed for priority matters that may fall with North American working hours.

• Prioritizes conflicting needs; handles matter expeditiously, proactively, and exceptional follow through on projects and tasks to their successful completion within the established deadlines.

On occasion, there is a need to work additional hours on evenings and weekends. Some travel is required. 

SkyPower’s Ideal Senior Administrative Assistant must have:

• Exceptional organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail

• Strong interpersonal skills and the ability to build relationships with stakeholders, staff, board members, external partners, and investors.

• Must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation, as well as ability to take a large amount of information and summarize it quickly both in writing and orally on a regular basis

• Demonstrate proactive approaches to problem-solving with strong decision-making capability

• Emotional maturity

• Highly resourceful team player skills, with the ability to also be extremely effective independently

• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest customer/client service and response level

• Ability to achieve high-performance goals and meet deadlines in a fast-paced environment

• Forward-looking thinker who actively seeks opportunities and proposes solutions

• Flexible and able to work additional hours into the evening to meet critical deadlines during the work week

Experience:• Strong work tenure: 5 to 10 years of experience supporting Senior Executives, preferably in the entrepreneurial and/or global, fast paste innovative environment that provided the necessary training and skills to equip you for this critical role• Experience and interest in internal and external communications, partnership development, and marketing• Proficiency in the following software is ideal: Microsoft Office, Word, Asana and/or Slack is a plus.• Possess the skills and confidence to meet the requirements of the role as detailed above • English 100% proficiency in written and oral is absolute requirement. Additional languages are a plus • Interpersonal skills with the ability to work effectively with individuals and groups at all organizational levels, work independently and as part of a team• Strong active listening skills• Willingness to adapt to changing business needs and deadlines, including extended work hours
