Job Description:
The Manager, Real Estate Services (or Real Estate Manager) will provide support and strategic advice in the management of the corporate real estate portfolio, while developing relationships with various stakeholders to help the department optimize the alignment of the real estate portfolio to BDC’s service delivery objectives and operations and also coordinate the implementation of new offices and all technical requirements with the Project Development team, insuring an optimal overall project performance from the initiation to the delivery phases. They will be responsible for Lease administration and to negotiate and manage contracts and leases related to Real Estate and ensure resolution of arising issues. They will be responsible for managing the office services responsibilities, as well as the general administration of RE&FM including budget monitoring, accounting and data analytics.
Job Responsibilities:
- Develop Real Estate guidelines, in partnership with Operations, and implement plans to meet ongoing and future branch network requirements.
- Keep abreast of the changing business needs, evaluate and anticipate the level of potential impact on the physical requirements of the BDC network.
- Coordinate technical requirements with the Project Development team, insuring that any specific improvement work required is included in the lease negotiations and subsequently organize the transition from the leasing to the construction project stage.
- Confirm the technical suitability of the new premises and ensure that all timing requirements and other conditions under the lease agreements are being met; provide guidance in resolving issues to keep renovation/relocation projects on schedule and on budget.
- Manage the development of tools to support operational and statistical organizational dependencies (integration with ServiceNow, WorkDay, ViaReport, IFRS reporting) for better use/greater integrity of data and increased automation (tools to help set corporate objectives, define needs, priorities and strategy through use of analytics), as well as the general administration of RE&FM including budget monitoring and accounting.
- Manage needs assessments and due diligence processes, conduct research (analyzing marketing analytics to identify client pods) and visit local markets to select viable options for expiring premises to identify locations that meet BDC’s strategy and operational needs for branch network and create, structure and manage leasing strategies towards attainment of corporate objectives ensuring completion/finalizing deals at the most favourable rates and conditions, in a timely manner.
- Prepare the Corporate Plan for rent projections and related corporate projects as well as the business plan for real estate services and prepare the annual operating budget for REFM, ensuring consistency with BDC Corporate Plan.
- Manage all aspects of lease administration to ensure audit compliance and to make sure that any outstanding lease obligations (financial or legal), together with related municipal obligations, are being met and that specific action plans have been developed and implemented while ensuring compliance with federal guidelines for leased real estate.
- Enforce compliance and initiate disputes to resolve issues, if necessary.
- Manage office services responsibilities throughout BDC (desktop publishing, printing, warehousing and distribution, mail/courier services, etc.), while maintaining relationship with clients, external suppliers, ensuring cost-effectiveness and a highly-efficient level of customer service. (responsibilities may be handled internally and/or externally).
- Work closely with Marketing and Public Affairs and participate in the development and launch of new communication products ensuring adherence to BDC branding standards.
- Manage BDC’s outsourced real estate service provider, oversee the quality of services rendered (using KPI’s), monitor costs to ensure compliance with contract and ensure the continual development, functionality and integrity of the real estate portfolio database.
- Provide input and direction on new sites and/or relocation of current BDC offices with respect to feasibility and market conditions as it relates to leases and make recommendations to management and other stakeholders.
- In partnership with the Procurement group, act as REFM’s Subject Matter Expert (SME), research best practices, determine needs and define deliverables in the tender process for outsourced Real Estate service providers. Help determine qualified suppliers and participate in calls for tenders, review and grade bids to ultimately prepare recommendations for management’s approval.
- Solve lease-related issues and impasses with landlords by proposing solutions, interpreting and enforcing legal obligations, when necessary, through written communication with landlords (or their representatives) or municipal authorities.

Qualification & Experience:
- Strong problem-solving, analytical and decision-making skills
- Excellent computer skills – Outlook/Word/Excel/PowerPoint/AutoCAD
- Bachelor’s degree or diploma in administration, law or other field of expertise related to real estate.
- Knowledge of risks and regulatory requirements related to the business unit
- 7 to 10 years of relevant experience in project management and/or commercial real estate portfolio management.
- Ability to read, write and accurately interpret complex contracts (including commercial leases) in English and French and development plans.
- Varied experience combining national real estate transaction management, law, architecture, engineering, facilities management, communication, project management – an asset.
- Strong ability to work under pressure; excellent organizational skills; ability to prioritize, manage time and meet tight deadlines in a dynamic environment.
- Ability to collaborate effectively, share a lot of information and coach colleagues.
- Experience in managing a multidisciplinary team.
- Availability to travel frequently on business.
- Strong written and oral communication skills in both official languages
- Experience in a corporate environment
- Ability to establish and maintain effective relationships with employees at all levels and with suppliers
