ADAPT Administrator


We are searching for a self-motivated ADAPT Administrator. Your role will be to work as part of a team providing professional, courteous, and efficient academic administration. Your role will be to perform tasks in accordance with the established rules, precedents, and guidelines.

Primary Duties & Responsibilities

Familiarity with the ADAPT assessment and component tests together with administrator rights to manage assessments

Receipt of nominated students agreed by Foundation and Head of ADAPT based on ADAPT pre-screening results and student performance rating

Contact students (via Teams/telephone/email) to schedule ADAPT assessment in parallel with Foundation Semester program

Creation and maintenance of ADAPT assessment schedule (Excel spreadsheet) to include identifying absent students

Create ADAPT assessment courses in ETA for each student

Checking and confirming student credentials at arrival for ADAPT

Invigilating ADAPT assessments

Enter ADAPT results in ETA

Informing students of assessment result via email and Teams

Producing report of students successfully completing all components of the ADAPT assessment

Sending requests to finance for successful students’ financial currency to verify qualification to attend Group Task and Interview (currently delivered online) as last element to qualify for Falcon

Schedule qualifying students to attend Group Task and Interview

Confirm student attendance and identify any absentees

Re-alerting the Head of ADAPT when a student has completed 3 unsuccessful attempts

Utilize excellent organization skills – able to think on your feet, organize to-do lists and prioritize tasks by the deadline. Able to keep track of workstreams and have a reliable memory and a meticulous nature. Methodical – accuracy in scheduling assessments and recording results.

Practice exceptional interpersonal skills – verbal communication, problem-solving and listening skills. Ability to interact with students and colleagues via telephone, online and face-to-face.

Ensure students attend assessments and managing “no shows”. Handling student enquiries (or notify the Head of ADAPT about complaints regarding assessment scheduling and results). Attentiveness and patience to help with handling students (and colleagues) who might be confused and frustrated.

Managing Helpdesk tickets and escalating to Head of ADAPT where appropriate.

Willingness to learn and develop within the role to build knowledge of assessments utilized to assist students and colleagues.

Provide supervised access to the computer lab for to students to practice for ADAPT assessment

Provide support on any other tasks as requested.

Education and Experience

Bachelor’s degree with a Math/Science/Aviation background, preferred

To be successful, you should have online assessment experience, high cognitive functioning, strong organizational (database management), administrative (collaboration & MS Office), communication (bilingual Arabic/English), customer service and listening skills. Outstanding candidates are self-starters, cooperative, and have excellent administration skills.
